Depending on the campaign you're building and the entries you're collecting, you may not need your list export to contain all of the field options we provide. To address this, you can set up and use an Export Profile - this allows you to select which field data is included in your entry export, and even customize the column names.
Here's how to export entries using an export profile:
Using an Existing Export Profile
- Open the list you want to export the entries from; you should be viewing your entries in the Entries Manager.
- Click on the Actions button, then select Export Entries.
- Select either Entries or Entries & Uploaded Files.
- When asked if you want to choose or create an export profile, select Yes.
- The Select Export Profile pop-up will appear; click the name of an existing profile to highlight it, then click Select at the bottom.
- You'll be redirected to the previous step and the name of your selected profile will appear in blue. Click Next.
- Add the email address to which you'll be sending the export, then click Export & Close.
Adding and Using a New Export Profile
- Open the list you want to export the entries from; you should be viewing your entries in the Entries Manager.
- Click on the Actions button, then select Export Entries.
- Select either Entries or Entries & Uploaded Files.
- When asked if you want to choose or create an export profile, select Yes.
- The Select Export Profile pop-up will appear; click the Add button at the bottom.
- Add the name of your new profile using the provided field, and an optional profile description in the field below the name.
- The Field Mappings section will be populated with the fields used to collect data for the exported entries, and also show you what that field's heading will be in your export. To remove any field from the export profile, click the trash can icon on the right side of the field you'd like to remove.
- There are two options to add additional fields. If you'd like to add all standard field types (that aren't already used in the profile), click Add All Standard Fields at the bottom of the field list. If you'd like to add individual fields, click the Add One Field button.
- Set the type of field you'd like to add using the Type drop-down. You have two options:
- Simple Map: This is the default; it uses the entry data provided by the entrant for the field. Using more technical lingo - it maps one entry field to one output field.
- Set Constant - If you would like to provide the same field data for each entry exported, this is the option you'll want to use.
- From there, select the Entry Field drop-down to select the specific field you would like to use, and the Output Field Name field if you'd like to customize the default header. If you selected Set Constant for the type, use the Constant Value field to add the value.
- When you're finished adding and removing fields, click Save.
- You'll now see your new profile appear on the list! Click on the name of your list to select it, then click Select.
- You'll be redirected to the previous step and the name of your selected profile will appear in blue. Click Next.
- Add the email address to which you'll be sending the export, then click Export & Close.
