Overview
ShortStack for Teams allows for collaboration between users. As the Owner of a team, you may invite other users to be Admins or Members of your team with access to assets, including campaigns, lists, media, custom templates, custom themes, and custom snippets.
Requirements
All plans have access to ShortStack for Teams. For Startup, Business, and Growth plans, you have access to our basic team members, where all team members have admin-level access.
For Pro, Elite, and Enterprise, you have access to advanced team members, where you can customize the roles and resources each team member has access to.

Adding Team Members
To add additional admins or members, you must purchase a spot for them. Please refer to our pricing page for more information.
If you are not subscribed to a qualifying plan, you will need to upgrade your account before you can create a team or add team members.
Joining a Team
If another ShortStack user invites you to their team, you will receive an email with a link to join.
- Existing Users: Clicking the link will take you to the Switch Team menu, where you can choose to use ShortStack as yourself or as a member of the new team.
- New Users: Clicking the link will prompt you to sign up for a free ShortStack account before joining the team.
Getting There
Click on your name in the top-right of the navigation menu and select Manage Team from the drop-down menu.
If Manage Team isn't an option, you may be:
- Using ShortStack as a member of another team (see Switching Teams below).
- Required to upgrade your ShortStack plan.
Team Roles
Available on Pro Plan.
There are four main roles, with the ability to customize a team member’s permissions.
Note: For Startup and Business Plans, you will only have access to the Admin team member role. For customizable roles, upgrade to the Pro Plan.
Owner
The account holder who subscribes to ShortStack.
Owns all campaigns, lists, and other assets, even if others create them.
The only role that can change the subscription and transfer resources.
Admin
A role below the owner with access to everything in the team account except:
- Billing information
- Subscription changes
- Resource transfers
Member
Can create and delete assests.
Can only view assets assigned to them via tagging.
Can access entries and change vote counts if given access to the relevant list.
View Only
Can view campaigns, analytics, entries, and votes but cannot create or edit assets.
Useful for clients who need to review campaigns.
Custom
Grants selected permissions, including:
- Create: Create new resources like campaigns and emails.
- Edit: Edit existing resources.
- Delete: Delete resources.
- Publish: Publish campaigns and emails.
- Analytics: View analytics for campaigns and emails.
- Approve Entries: Approve or reject entries.
- Create Account Fields: Add custom fields using the Field Widget.
- Export Entries: Export entries to .csv or .zip files.
- Public Templates: Access public templates.
- Tag/Label: Organize resources using tags.
Note: When updating permissions, team members are automatically logged out and will need to log back in to see the changes.
Inviting a New Team Member
To add a new team member, follow these steps:
- Click the Invite New Team Member button at the top-left of the Manage Team page.
- Enter the invitee’s email address.
- Write a short message (optional).
- Select a role for the new team member.
- Assign a tag to the new team member (optional).
- Click Send Email Invitation.
Invitation Details
Invitations are valid for 72 hours but can be resent until accepted or deleted.
Accepting Invitations:
Existing users click the link to join the team.
New users are prompted to create a free account before joining.
Tags
Available on Pro Plan.
Tags help organize campaigns, lists, media, and more.
Types of Tags
- Default Tag: Applied to resources created by a team member, granting them access to these resources.
- Permission Tag: Grants access to any resource tagged with it, regardless of the creator.
- Group Tag: Shared between team members to organize resources but does not automatically grant access.
Managing Tags
Creating Tags: Click the tag icon under a team member’s name, enter the tag, and press Enter.
Filtering Tags: Click a tag in the tag cloud to filter resources.
Renaming Tags: Click Rename Tags, then edit the tag name and press Enter to save.
Team Nickname
Click Team Nickname at the bottom left to change your team’s name. Press Enter to save your changes.
Switching Teams
To access content for a different team:
- Click your name in the top-right corner of ShortStack.
- Select Switch Team from the drop-down menu.
- Choose the desired team from the Switch Team menu.
You will now use ShortStack as a member of the selected team.
