These features available on All Plans (except where noted)
Getting There
From the Home screen, click Manage in the main menu, then select Emails from the drop-down. Or, if you've favorited the Emails Manager, simply click Emails in the top bar of the Home screen.
Layout
The Emails Manager displays a list of all of the emails you've created, as well as the option to create new emails via the New Email button. At the top, you will find a scoreboard displaying the past four weeks' statistics for all the emails you've sent from your account.
If you'd like to favorite the Emails Manager (which adds a direct link to the manager to the top of your Home screen) click the heart icon to the right of the Emails title at the top of your screen. To remove it from your favorites, click the heart icon again.
Note: The favorites settings are stored in your browser; so if you log into ShortStack on a different computer/in a different browser, you will need to re-establish your favorites.
Emails
The list of your emails will appear on the right-hand side. Each info pane will show the following information:
- The name of the email
- Clicking on the name of the email will open the email in the Email Builder so it can be edited.
- When the email was created, and the last time the email was updated
- Whether or not the email is active or inactive
- The name of the list(s) that the email is attached to
- Clicking the name of the list will open it in the Lists Manager.
- How many entries the email has been sent to
- The email's analytics will open (if you are on the Pro Plan or higher) by clicking the number listed above Sent.
If you hover over the name, you'll see an edit icon to the right; click this to rename the list. Type the new name in the field, then click the blue checkmark button to lock it in.
Clicking the icon on the right will open the email in the Email Builder. Additionally, there's also a drop-down menu that gives you more options for managing the email.
Additional Email Options
By clicking the arrow to open the drop-down menu, you'll get these additional options:
Analytics
This feature available on the Pro Plan
Clicking on Analytics will bring you to the statistics for that particular email list, including emails sent, opens, clicks, and unsubscribes.
Copy
Clicking Copy will display the Email Builder in a pop-up so that you can make a new email using the same settings as the email you're copying.
Permissions
This feature available on the Pro Plan
If you're using ShortStack for Teams to grant access of your account assets to other teammates, clicking Permissions is where you can set the specific access levels for the selected email for your team members.
Archive
To hide an email but not delete it completely—especially useful if you work with a large number of emails—click Archive. This will remove the selected email from view in the Emails Manager unless you have the Show Archived checkbox checked in the filtering section.
Delete
By clicking Delete, you can remove the email from your account entirely. This doesn't remove the entries from the list you emailed, or the list itself - just the email.
Note: Deleting emails is permanent, so make absolutely sure you no longer need the email before completing the deletion.
Scoreboard
The scoreboard area of the page lets you see the health of your email campaigns at a glance. Included are the number of Emails Sent in the Last 4 Weeks, your Open Rate for the Last 4 Weeks, and the Email Clicks in the Last 4 Weeks. In the bottom-right of each pane, you'll also see a listing of the emails sent, opened, and clicked within the Last 7 Days.
To refresh the count, click the refresh icon in the bottom-left of each pane. The lightbulb icon will take you to some helpful information about using email marketing year-round.
Search
Use the Search field in the top-left corner of the page to look through your entries using a single word or phrase. The Tag field (if you are on the Pro Plan or higher) allows you to search through your emails by simply typing in a tag that's attached to one or more emails. Your results will automatically be displayed on the right.
Filtering
All of your filtering options appear on the left-hand side. Your options are to view by Status, Email Type, Company Profile, or Archived status (or any combination of the four), and when you make a selection your results will appear on the right side. After you've selected a filter, you can clear the filter by clicking the icon next to the filter name.
Sorting
To sort the emails, click the button next to the number of emails at the top. Your options are to sort your emails by Recently Edited, Status, Scheduled, Newest, and Oldest.
Creating a New Email
To create a new email, click the New Email button on the right side of the screen.
This will bring up the Email Builder in a pop-up so that you can build and compose a new email. For more information on creating a new email, check out the Emails section of our help docs.
Working With Emails
There are a few other options available when working with emails; you'll see the bar appear up top when you've clicked an email to highlight it:
Tag
This feature available on the Pro Plan
Clicking the Tag button will allow you to add tags to all selected emails. It also has an area that shows you all the tags already applied to the emails. Just type the tags you wish to add (with a comma between each), hit Enter/Return on your keyboard, and then click the blue Save button.
Archive
Any selected emails will be archived when you click the Archive button; you'll see them disappear from view immediately.
To view or restore any emails you've archived, start by checking the Show Archived box in the filtering options on the left.
You will then see any archived emails appear on the right. Click to select any emails you'd like to restore, then click Restore at the top of the screen. They'll disappear from the archive view, and be moved into the default view.
Delete
The other available option is another way to delete emails; if you'd like to delete multiple emails simultaneously, click each one to highlight it, then click the Delete button up top. You'll be asked to type in a short phrase to confirm, then click the red Delete button to finalize the deletion.
